This notice explains how Queerwell collects, uses, and protects your personal information when you visit our website, use our services, donate to us, sign up to our mailing list, or otherwise contact us. It’s written to comply with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

We are a small LGBTQ+-led charity, and we take particular care with your data because some of the information we hold — such as sexual orientation, gender identity, and mental health information — is legally classed as “special category data” and needs extra protection.

1. Who we  are

Queerwell ("we", "us", "our") is a registered charity, Charity Registration Number: 1210152.

Depending on how you interact with us, we may collect:

  • Contact details — name, email address, phone number, postal address.
  • Session and service data — sign-up information, attendance records, session feedback forms, wellbeing scale responses.
  • Special category data you choose to share — information about sexual orientation, gender identity, or mental health that you disclose during sessions, in feedback forms, or in correspondence with us.
  • Donation and payment information — amount donated, Gift Aid status, and payment details (processed securely by our payment processor — we do not store full card details ourselves.
  • Website usage data — pages visited, browser type, and similar technical information, collected via cookies (see 6).
  • Communications — records of emails, messages, or calls between you and us.
  • We only collect what we need, and we never require you to disclose more about your identity, orientation, or health than you’re comfortable sharing in order to access general information or make contact.

Where we rely on your consent, you can withdraw it at any time by contacting us — this won’t affect anything we did with your data before you withdrew consent.
4. Special Category Data

Because some of what we hold relates to sexual orientation, gender identity, or mental health, we apply extra safeguards:

  • We only process this data with your explicit consent, or where necessary for safeguarding purposes.
  • Access is restricted to practitioners and staff directly involved in delivering your support.
  • We do not share this data with third parties for marketing or unrelated purposes.
  • You can ask us to stop processing this data, or to delete it, at any time (see 7).
5. Who we share your information with

We do not sell your data. We may share limited information with:

  • Service providers who help us run our services — for example, our ticketing platform (Ticket Tailor), email/newsletter platform (Sender), and payment processor. These providers only process data on our instructions and are bound by data protection agreements.
  • Regulators or authorities where we are legally required to (e.g. the Charity Commission, HMRC for Gift Aid, or in a genuine safeguarding emergency).
  • Professional advisers such as our accountants, where necessary.
  • International Transfers: Some of our service providers may store data outside the UK. Where this happens, we ensure appropriate safeguards are in place, such as the UK’s International Data Transfer Agreement or an adequacy decision covering that country.

  • Safeguarding records: retained in line with safeguarding best practice, typically longer than other records.
  • Donation records: as required by charity and tax law (typically 6 years).
  • Newsletter contacts: until you unsubscribe or ask us to delete your data.

Under UK GDPR, you have the right to:

  • Access the personal data we hold about you.
  • Correct inaccurate or incomplete data.
  • Erase your data (“right to be forgotten”), in certain circumstances.
  • Restrict or object to certain processing.
  • Data portability — receive your data in a portable format.
  • Withdraw consent at any time, where we rely on consent.
